This policy explains how personal information is handled when you use our mobile assessment apps and this support website.
1. Scope and responsibilities
This policy covers MAP SetSafe and MAP SmartStack, also referred to in their interfaces as SetSafe and SmartStack. These apps support professional assessments of laboratory ventilation systems.
Measured Air Performance (“MAP,” “we,” “us”) is the contact for this policy. If you use an account provided by your employer or another organization, that organization may determine how its assessment records and business contact information are used. Its instructions and agreements also apply to those records.
2. Information we handle
- Account information: your sign-in identifier, account and organization identifiers, access permissions and session credentials needed to authenticate your account.
- Assessment and contact information: facility names and addresses; names, business email addresses, phone numbers and roles of representatives; laboratory, fume hood or exhaust fan details; energy inputs, notes, timestamps, review messages and assessment results.
- Photos and documents: images you capture or select, attachments, fan submittals and documents that you add to assessment records. Files may include personal information or metadata that you choose to provide.
- Location in SmartStack: when you choose “Use current location” and allow location access, SmartStack uses your device location to resolve a facility address. The resulting address can be included in the assessment. SetSafe uses facility addresses entered manually and does not request device location.
- Notification and technical information: app-installation identifiers, notification registration identifiers and tokens, platforminformation, notification preferences, and connection information such as IP addresses and operational logs generated when communicating with the service.
- Support communications: information you provide when contacting MAP about the apps, your account or a privacy request.
Assessment drafts, attachments and cached records can be stored on your device for offline work. Assessment content is transmitted to the supporting service when you submit or synchronize records, upload attachments or exchange reviewmessages. Account and notification operations also communicate with the supporting services.
3. How information is used
We use information to authenticate users, provide access to the appropriate records, prepare and review assessments, returntechnical results, deliver requested notifications, respond to support requests, maintain service reliability and security, and meet applicable contractual or legal obligations.
The apps are intended for assessment workflows, rather than advertising. We do not use assessment content to deliver targeted advertising. Provide only information that is relevant to your assessment and that you are authorized to share, especially when adding other people’s contact information or photos.
4. Permissions and your choices
| Access | Purpose and control |
| Camera | Capture photos that you choose to attach to an assessment. You can decline camera access or change it in your device settings. |
| Photos and files | Select images and supporting documents, or export/share a report. The apps work with the items you select; they do not upload your entire photo library. |
| Location | SmartStack can fill a facility address when you select “Use current location.” You may enter the address manually instead. This feature does not continuously track your location in the background. SetSafe uses manual addresses. |
| Notifications | Receive assessment and review updates. Manage notification preferences in the app and notification permission in your device settings. Disabling notifications does not delete submitted assessments. |
Removing a permission affects the feature that needs it. Signing out or uninstalling an app does not, by itself, delete information already submitted to the service or retained by your organization.
5. Sharing and service providers
Information may be accessed by authorized people in your organization, MAP personnel and technical teams supporting the assessment and review service, including ICO Energy and Engineering where it provides the supporting workflow.
We use service providers for infrastructure, storage and delivery of app notifications. The current apps use Google Firebase app-installation and messaging services and Apple Push Notification service on iOS. These services process installation identifiers, notification registration information and the technical data needed to deliver notifications. Supporting backend infrastructure includes Microsoft Azure services.
Providers handling personal information on our behalf are expected to use it for their contracted services and protect it under theapplicable agreements. Information may also be disclosed where required by law, to protect rights or security, or at your direction. When you export a report or share files, the destination you choose handles that copy under its own policies.
Service providers may process information in countries other than your own. For questions about the processing arrangements that apply to your organization, contact MAP.
6. Retention and deletion
Account information, assessment records and support communications are retained for the purposes described here, taking account of customer agreements, operational needs and applicable legal obligations. Retention periods can differ for business records, security logs and backups.
You can remove local drafts or attachments using the available app controls. To request deletion of an account or information already submitted to the service, contact MAP and, where applicable, your organization’s administrator. We may need to verify your identity and confirm who is authorized to instruct deletion of business records. Some information may need to be retained for legal obligations or an organization’s legitimate recordkeeping requirements; we will explain applicable limits when responding to a request. Backup copies may remain until their normal retention cycle ends.
7. Security and storage
The production service uses encrypted network connections. Session credentials are stored using platform-backed secure storage, while assessment records and selected files can also be held in the app’s local storage. Device security, operating-system settings and access to exported files remain important to protecting those copies.
We use access controls and other appropriate safeguards to protect the service. No storage or transmission method can guarantee absolute security. Protect your device and account, and notify MAP if you suspect unauthorized access.
8. Privacy requests
Depending on your location and the circumstances, you may have rights to request access to, correction of, deletion of or a copy of your personal information, or to object to or restrict certain processing. You can also withdraw device permissions through thesettings described above. Contact MAP to exercise a right or ask how it applies to your use of the apps. Where your organization controls the relevant records, we may direct the request to that organization.
9. Children
The apps are designed for professional use and are not directed to children under 13. If you believe a child has provided personal information through the apps, contact MAP so that the concern can be investigated.
